Procedure for this Examination

Read the case study below. Use the notes to write a letter in Microsoft Word. E‑mail it attached to a note to your instructor.

NOTE: You must use all of the skills you've learned in all the past lessons. You need such things as a clear thesis statement (meaning a statement of the contents), blocks, openings for the blocks, and headings. If your document doesn't contain everything explained in the previous lessons, we will return it for revision.

This is the list of skills you must demonstrate that you have mastered:

  • Follow e mail protocol and etiquette
  • Set goals.
  • Know your readers.
  • Choose strategies based on the goals and readers.
  • Use a standard letter or memo format.
  • For e mails and memos, always write a clear, meaningful subject line. For letters, use a "Subject" or "Re" line if your company customarily uses it.
  • Write a clear, complete introduction.
  • For e mails, letters, and memos, write a cordial beginning or buffer.
  • State the contents of the document at the end of the thesis.
  • For reports, state conclusions and recommendations in the introduction.
  • Write the explanations in blocks.
  • Keep explanations of a subject together in one block.
  • Check each block for focus.
  • Check each block for completeness.
  • Open each block with a statement of the contents.
  • Use headings to open blocks.
  • Bold field or data names to identify them as blocks.
Case study

You are the manager of the Boynton Department of Streets and Sanitation. You have received the following letter from a concerned citizen. You know nothing about the citizen, but you can surmise some things from the letter. Carefully assess the reader, decide on your objectives, and create a strategy to achieve your objectives. Write the letter and send it to us.

I have received a notice that all access to my Times Past Antiques storefront will be cut off during the resurfacing of a small section of sidewalk half a block away, scheduled for August 20. It would have been helpful if you had asked the businesses on the street about it instead of just sending an announcement that it's happening. Though this obstruction is only for a day, I operate on a small profit margin and cannot afford to close down in the middle of the week. In consideration of the fact that the sidewalk repair is taking place over 100 feet from my door, I request that access be granted. Safety should not be a problem, as no large machinery will be used and the area under repair has been effectively cordoned off for more than one week already. Please instruct the repair crew to open and mark a safe path from the curb to my storefront during the repairs. I feel certain that this is a solution that won't require me to go to the Downtown Business Alliance to take care of it.
